Workflow automation · AI automation
Workflow automation services for small businesses: your tools connected, the busywork done.
Kinetiq is a two-founder studio in Corona, California that builds custom workflow automation: we connect the software you already pay for (phone system, calendar, CRM, payments, accounting, email and text) and add AI where a person used to have to read, decide and type. You describe the work your team does by hand; we make it happen on its own.
What does an AI automation agency do?
An AI automation agency connects the software a business already uses and adds AI where a person used to read, decide and type. At Kinetiq, we start from how your business runs today, not from a product we want to sell you. Then we build the automations that remove the repetitive work between your tools, with AI handling the parts that need reading or judgment, like sorting a message, drafting a reply or pulling details out of a form. We build it, test it with you and hand it over working.
The automations we're asked for most
- Missed-call text-back. Any call that rings out gets a text within seconds: "Sorry we missed you. Want to book here, or should we call back?" For a service business, it's often the cheapest automation with the clearest payoff.
- Lead response. A web form, Facebook lead or Google Business message gets a personal reply in under a minute, a CRM record and a follow-up sequence if they go quiet.
- Appointment reminders and rescheduling. Text reminders at the times you choose, with a one-tap reschedule link that updates your calendar.
- Invoice and payment sync. Payments in Stripe or Square land in QuickBooks or Xero, reconciled and tagged. Unpaid invoices get a polite reminder at 7, 14 and 30 days.
- Review requests. After a finished job or visit, the customer gets a text asking for a Google review, timed so it actually gets done.
- Customer onboarding and intake. Paperwork, welcome emails and internal tasks triggered the moment someone signs.
- Database reactivation. A text or email campaign to past customers who haven't booked in a while, with replies routed to your team.
- Daily operations brief. One message every morning with yesterday's calls, bookings, payments and anything that needs a person.
- AI phone receptionist. When the automation needs a voice: answers every call 24/7, books appointments and transfers emergencies.
Automations we've built recently
- Adventure Touring: automation systems that, in the owner's words, "saved us countless hours."
- Ricky Johnson Adventures: an AI receptionist and automated tools that took the busywork off the owner's plate, plus a sync that shows clinic sign-ups from Stripe as they happen.
- A security company: every website enquiry is saved to a database first and then routed to the owner, so no lead is lost if an email fails.
- Built for ourselves: prospects pulled from Apollo, enriched and loaded into our CRM automatically.

How an automation project works
- 15-minute call. You tell us where the hours go. We tell you what we'd automate first and what it would cost.
- Week 1: map. A 90-minute session where we write down every step of the process, who does it today and what "done" looks like.
- Week 2: build and review. We build in your accounts, test with real data and review with you every 72 hours.
- Week 3: launch. Switch it on, watch it run and fix the edge cases. We stay close for the first month.
A single automation, like missed-call text-back, can be live in a few days.
Why a small studio instead of a platform or a freelancer
- Versus a platform (Zapier templates, a chatbot app): you still have to build and maintain it yourself. Many owners get partway there and stop.
- Versus a freelancer: you talk to the same two people for the build and for every fix after it.
- Versus a large agency: you talk to the people who build it. No account manager and no paid discovery phase.
Pricing
Automations are quoted per build. A single automation is a small, fast job; a connected system costs more because it touches more tools. Either way it's one flat price in writing. If an automation needs ongoing care, any flat monthly fee is quoted in writing next to the build price before you pay anything. The texting, AI and automation-platform usage it runs on bills to your own accounts at the provider's rates, usually a few dollars to a few tens of dollars a month for a small business. Workflow automation questions
- What is an AI automation agency?
- An agency that connects the software a business already uses and adds AI where a person used to have to read, decide and type. Kinetiq builds these systems for small businesses: lead follow-up, reminders, invoice sync, review requests, document intake and, where calls are the bottleneck, AI phone receptionists.
- How fast can a single automation go live?
- A focused automation such as missed-call text-back or instant lead replies can be live in a few days. A connected system of several automations takes about three weeks.
- Can automations read emails, PDFs and forms?
- Yes. That's where AI earns its keep: reading an email, an intake form or a PDF invoice, pulling out the details and putting them where they belong. We test it on your real documents before it goes live, and anything it isn't sure about goes to a person.
- Do you use n8n, Zapier or Make?
- Whichever fits. Many of our automations are code we write and host on accounts you own; we use n8n, Zapier or Make when your team already relies on them or when they're the simpler fix.
