How it works

How a custom build works, from the first call to a live system.

Every Kinetiq build is designed around one business, so the process starts with how yours runs. Most automation and AI builds go live about three weeks after the first call; custom software takes three to six. Here is every step, what we need from you at each one, and what you have at the end.

The four steps

  1. Step 1 · Day 1

    Free 15-minute call

You tell us where the hours go. We tell you what we'd build first and whether it's worth building, and if it's a fit, you get a flat price in writing. You pay nothing until you accept it.

  2. Step 2 · Week 1

    Mapping session

90 minutes on every step of the process: who does it today, which tools are involved and what "done" looks like. You get a written plan and a launch date.

  3. Step 3 · Week 2

    Build and review

We build in your accounts and test with your real data. Every 72 hours we show you where it stands, and you try it before it touches a customer.

  4. Step 4 · Week 3

    Launch and first month

We switch it on, watch it run and fix the edge cases. For the first month after launch, anything that breaks is fixed at no charge.

What we need from you

  • One person who can make decisions about the process
  • Access to the tools involved (we send a short checklist)
  • 90 minutes for the mapping session
  • 15 minutes for each review, about every three days

What you have at the end

  • The working system, live with real customers
  • Every login and account in your business's name
  • The code, if we wrote any
  • A short written guide for your team
  • A month of fixes included

Before and after

The same day at a small business, before and after.

Five ordinary moments in a week: same calls, same inbox, different outcome.

Before

Before: missed calls, cold leads and copy-paste

  1. 8:14 am

The phone rings while your one front-desk person is with a client. It goes to voicemail.

  2. 12:32 pm

Yesterday's invoice is still sitting in an email. The bookkeeper hasn't got to it.

  3. 3:49 pm

A website form comes in. No reply goes out, and the lead goes cold overnight.

  4. 7:07 pm

A customer emails to ask where their job stands. Nobody sees it until morning.

  5. Monday

A pile of voicemails, half of them already too late. The week starts behind.

After

After: answered, booked and synced

  1. 8:14 am

Answered. Appointment booked and a confirmation texted before the caller hangs up.

  2. 12:32 pm

The invoice already synced to QuickBooks, matched and tagged.

  3. 3:49 pm

The form gets a personal reply in 30 seconds and a consultation slot is held.

  4. 7:07 pm

The customer checks their job status in your client portal. Nobody had to answer.

  5. Monday

A clean inbox and a full calendar.

Will it work with our tools?

In most cases, yes. If a tool has an API or a webhook, we can usually connect it. The ones owners ask about most are calendars (Google, Microsoft 365, Calendly, Acuity), CRMs (HubSpot, GoHighLevel, Pipedrive, Salesforce, Zoho), phone systems, industry software such as ServiceTitan, Jobber, Clio and Open Dental, and payments and accounting (Stripe, Square, QuickBooks, Xero). We confirm exactly what your accounts allow during the mapping session, before anything is built. See the tools we connect.

Most of what we build plugs into those tools: workflow automation between the tools you already use, custom AI that reads, sorts and drafts inside them, or custom software where nothing off the shelf fits. Questions about timelines, data and ownership are on the FAQ page.
