Custom AI · Assistants · Document intake · AI integration
Custom AI solutions for small businesses, built around how you already work.
Kinetiq builds AI into the way your business already runs, instead of selling you an AI app to work around. We design each system for one business: an assistant that runs the owner's inbox and calendar, intake that reads emails, forms and PDFs and files the details, or a phone receptionist trained on your hours, services and prices. It runs on accounts in your name, and you own it.
What custom AI means here
Custom AI is AI placed inside one step of your business: the step where someone reads something, decides what it means and types it somewhere else. It is the AI side of our custom software development work, with the same build process, the same flat pricing and the same rule: you own what we build.
Custom AI we build
An AI assistant for the owner
An assistant that triages the inbox, keeps the calendar and sends a daily brief of what needs you. You text it or talk to it, and it works across the accounts you connect.
AI that reads emails, forms and PDFs
Document and intake reading is where AI earns its keep. It reads an email, an intake form or a PDF invoice, pulls out the details and puts them where they belong. We test it on your real documents first, and anything it isn't sure about goes to a person.
AI inside the tools you already use
AI integration means adding AI to software you already pay for, such as your CRM, Google Workspace or QuickBooks, instead of buying another app. For example, AI can read each new lead in your CRM and write a short summary for whoever follows up, or draft replies in Google Workspace for a person to approve. If the CRM itself is the problem, see custom CRM development. If the job is only moving data between tools, that's workflow automation, and it costs less.
AI on the phone
An AI phone receptionist is the same idea on your phone line: trained on your hours, services and prices, it answers on your existing number, books into your calendar and transfers anything urgent to a person. It's one example of a custom AI build, not a product we resell. More on the custom AI receptionist.
Custom AI we've built
- An AI assistant for a business owner. It reads the inbox, manages the calendar and works across connected accounts, by text or voice.
- An AI receptionist and automations for a motorsports school. In the owner's words, they "freed up my busy work so I can expand our business footprint."
Custom AI system vs. an off-the-shelf AI app
An off-the-shelf AI app is faster to start. A custom system takes about three weeks and fits the way you already work.
| Option | Fits your process | Whose accounts it runs on | What you pay | Your data | Time to launch |
|---|---|---|---|---|---|
| Off-the-shelf AI app | Partly; you adapt to the app | The vendor's; you rent it | A monthly subscription, often per seat | Set by the vendor's terms | Same day, if it does what you need |
| Kinetiq custom AI system | Yes, designed around it | Yours: AI, hosting and phone accounts in your name | One flat build price; AI usage at provider rates; any monthly care fee quoted up front | Not used to train general AI models | About three weeks for most AI builds |
Do you need a custom build, an AI consultant, or just an AI subscription?
- Just an AI subscription if your team mainly needs help drafting emails and summarizing documents. Buy seats for ChatGPT, Claude or Microsoft Copilot and skip the build: it costs less and starts today.
- An AI consultant if you want a strategy document, an AI policy or staff training. Kinetiq doesn't sell decks or paid discovery.
- A custom build if the same reading, deciding and typing happens every day inside your own tools, and you want AI to do that work there.
On the free 15-minute call we tell you which one you need, even when the answer is the subscription.
When AI is the wrong tool
When a simple rule will do. "If paid, mark as paid" doesn't need AI, and rules are cheaper to build and run. We'll tell you which parts of your process need AI and which don't.
What it won't do, and your data
A custom AI system works inside the rules you set. It won't pretend to be a person, it won't act on anything you haven't allowed, and when it isn't sure, it hands the item to a person instead of guessing.
We don't use your data or your customers' conversations to train general AI models. Data is encrypted in transit and at rest on the providers we build on, access inside Kinetiq is limited to the two founders, and you can export or delete it at any time.
Pricing and running costs
Every custom AI build is one flat price, in writing, before you pay anything. Systems that need ongoing care, such as an AI assistant we keep tuned, can carry a flat monthly fee, quoted in writing next to the build price. Running costs are separate: AI usage, phone minutes and hosting bill to accounts in your name at the provider's rates, with no markup from us. We estimate them in your quote. How our pricing works.
Custom AI questions
- What can custom AI do for a small business?

- How long does a custom AI build take?
- About three weeks for most AI builds. You get a dated plan after the 90-minute mapping session, and we review the build with you every 72 hours.
- Do you use our data to train AI models?
- No. We don't use your data or your customers' conversations to train general AI models, and you can export or delete your data at any time.
- Who pays for the AI usage?
- You do, directly. AI usage, phone minutes and hosting bill to accounts in your name at the provider's rates, with no markup from us.
