Dental office automation, built around your practice software.

Kinetiq builds automation and custom tools around a dental practice's own systems: phones answered and booked into your schedule, hygiene recall and treatment-plan follow-up, review requests, and intake that lands in your practice software. Kinetiq is based in Corona, California and works with practices across the US.

What dental offices automate first

These are the five jobs we'd look at first in a dental office:

  • Overflow and after-hours calls. An AI receptionist answers when the front desk can't and books into your schedule. The calls it handles are below.
  • Hygiene recall. Texts or calls to patients who are overdue for a cleaning, with a way to book on the spot.
  • Treatment-plan follow-up. A reminder for patients who left with a treatment plan and no appointment.
  • Review requests. A text two hours after checkout asking for a Google review.
  • Digital intake. New-patient forms filled in on a phone before the visit, with the answers written into your practice-management system where it allows it, instead of retyped from paper.

Each one runs on accounts in your practice's name and follows the rules you set. See how we build review-request and treatment-plan follow-up automations.

An AI receptionist for dental offices

The receptionist is a custom build, not an app you rent: it's trained on your accepted plans, fee schedule and triage rules, and runs on phone and AI accounts in your practice's name. It's one example of the custom AI systems we build. These are the calls it handles (or try the text preview):

  • "Are you taking new patients, and do you take Delta Dental?" The receptionist answers with your accepted plans and offers the next new-patient slot.
  • "I need to move my cleaning." It finds the appointment, offers the next openings and moves it. The reminder text updates itself.
  • "My crown came off." / "My tooth is killing me." Your triage rules: during hours it transfers to the front desk; after hours it reaches the on-call dentist or books the first emergency slot and texts the patient what to do in the meantime.
  • "How much is a cleaning without insurance?" It quotes your fee schedule or your membership plan, whichever you tell it to lead with.
  • Hygiene recall. Optional outbound calls or texts to patients who are overdue, with booking.
  • Confirmations. Two days before and the morning of, with one-tap confirm or reschedule.

Where practices lose calls

Calls tend to slip through in four places: lunch, the last hour before close, the morning huddle, and any time the one front-desk person is checking a patient out. Then there's everything after 5 pm and all weekend. You can forward only those windows to the receptionist (overflow and after hours) and keep your team answering the rest, or forward everything so your team stops being interrupted. Either works.

Works with your practice software

The receptionist books into your practice's own schedule wherever your system allows it, not into a separate calendar you have to reconcile. If your practice-management system has an online-scheduling or API layer (such as Open Dental's API, Dentrix Ascend or Curve, or a platform like NexHealth), we build on it. In week one we confirm exactly what your system allows and tell you plainly if anything has to be a two-step handoff.

Custom tools around your practice

Some front-desk problems need a tool rather than an automation. We can build custom software around a practice, using your practice-management system's API where it has one: a dashboard of today's schedule, unconfirmed appointments and open treatment plans, or patient-facing intake pages that replace paper forms and write into your system. It runs on accounts your practice owns, and you own the code.

HIPAA and patient data

Call recordings and transcripts are encrypted in transit and at rest on the providers we use, kept only as long as you choose, and never used by us to train general AI models. Kinetiq doesn't hold a third-party certification today. If your practice needs a signed Business Associate Agreement, tell us before the first call: whether we can sign one depends on the phone and AI vendors your setup would use, and we confirm it in writing before any patient data is involved, or tell you plainly that we're not the right fit yet.

What it costs

One flat price for the build, quoted in writing after a 15-minute call. If part of it needs ongoing care, such as a receptionist we keep tuned, that can carry a flat monthly fee, quoted in writing next to the build price before you pay anything. Phone and AI usage bill to your practice's own accounts at the provider's rates; for a single-location office that's usually far less than adding a part-time front-desk shift. How our pricing works.

Dental office automation questions

What should a dental office automate first?
Start where the practice loses the most patients or front-desk hours. We'd usually look at the phone first: overflow and after-hours calls answered and booked into your schedule. Then hygiene recall, treatment-plan follow-up, review requests after checkout and digital intake into your practice software. In a 90-minute mapping session we look at how your week runs and tell you which one to build first.
Can the AI receptionist book directly into Dentrix or Open Dental?
Where your practice-management system allows online scheduling (Open Dental's API, Dentrix Ascend, Curve, or through NexHealth), yes, it books real slots. For older on-premise installs without an API, it books into a linked calendar and your team confirms in the system; we tell you which case you're in during week one.
How does it handle a dental emergency after hours?
You define what counts as an emergency and who should be reached. It transfers live to the on-call number; if nobody answers, it books the first emergency slot, texts the patient interim guidance you've approved and alerts your team.
Will it answer insurance questions?
It will say which plans you accept, whether you're in network and your policy on out-of-network patients. It won't quote a patient's specific coverage; it takes their plan details and passes them to your team to verify.
Will Kinetiq sign a BAA?
Possibly. It depends on the phone and AI vendors your setup would use. Tell us before the first call; we confirm in writing whether we can sign one before any patient data is involved, and say so plainly if we can't.
