    What "custom" means here

    "AI agency" gets used for everything from chatbots to consulting decks. Here is what it means at Kinetiq: we start from how your business runs today, not from a product we want to sell you. Then we build the thing that fits, which might be an AI receptionist, might be a client portal, might be a dashboard, and is usually a few automations connecting the software you already use (phone system, calendar, CRM, payments, accounting, email, texting) with AI doing the parts where a person used to have to read, decide, and type.

    We are not a software product you log into and figure out. We build it for you, test it with you, and stay on a flat monthly fee to host it, keep it running, and add to it.

    • A live sales dashboard for a motorsports school that shows who bought clinic spots through Stripe without anyone opening Stripe.
    • A voice assistant for a founder that reads the inbox, manages the calendar, and takes actions across connected accounts, by voice.
    • A custom CRM and a lead-enrichment tool that replaced two SaaS subscriptions with software the business owns.

    The automations we're asked for most often

    • AI receptionist. Answers every call 24/7, answers questions, books appointments, transfers emergencies.
    • Missed-call text-back. Any call that does ring out gets a text within seconds ("Sorry we missed you — want to book here, or should we call back?"). The single highest-return automation for a service business.
    • Lead response. A new form submission, Facebook lead, or Google Business message gets a personal reply in under a minute, a CRM record, and a follow-up sequence if they go quiet. Leads answered within 5 minutes convert many times better than leads answered the next morning.
    • Appointment reminders and rescheduling. Text reminders at the intervals you choose, with a one-tap reschedule link that updates your calendar.
    • Invoice and payment sync. Payments in Stripe or Square land in QuickBooks or Xero, reconciled and tagged. Unpaid invoices get a polite reminder at 7, 14, and 30 days.
    • Review requests. After a completed job or visit, the customer gets a text asking for a Google review, timed so it actually gets done.
    • Customer onboarding and intake. New-client paperwork, welcome emails, and internal task creation triggered the moment someone signs.
    • Database reactivation. A campaign to past customers who haven't booked in a while, by text or email, with replies routed to the receptionist.
    • Daily operations brief. One message every morning: yesterday's calls, bookings, payments, and anything that needs a human.
    • Outbound sales engine. For B2B clients: list building, enrichment, and personalized email sequences from a warmed-up sending domain.

    Tools we work with

    Calendar: Google Calendar, Microsoft 365, Calendly, Cal.com, Acuity. CRM: HubSpot, GoHighLevel, Pipedrive, Salesforce, Zoho. Phone and SMS: Twilio, Telnyx, OpenPhone, Dialpad, RingCentral. Vertical software: ServiceTitan, Jobber, Housecall Pro, Vagaro, Mindbody, Dentrix and Open Dental (via their scheduling integrations), Clio. Payments and books: Stripe, Square, QuickBooks, Xero. Workspace: Slack, Notion, Airtable, Mailchimp, Klaviyo. Anything else with an API or webhook, we wire through n8n or a custom connector.

    How an engagement works

    1. 15-minute call. You tell us where the hours go. We tell you what we'd automate first and what it would cost.
    2. Week 1: map. A 90-minute working session where we write down every step of the process, who does it today, and what "done" looks like.
    3. Week 2: build and review. We build in your accounts, test with real data, and review with you every 72 hours.
    4. Week 3: go live. Switch it on, watch it run, fix the edge cases. We stay close for the first month.
    5. Ongoing. A flat monthly fee covers monitoring, fixes when a tool changes its API, and a standing monthly call to decide what to automate next.

    Why a small agency instead of a platform or a freelancer

    • Versus a platform (Zapier templates, a chatbot SaaS): you still have to build and maintain it. Most owners try, get 60% of the way, and abandon it.
    • Versus a freelancer: you get the build, then silence when an integration breaks at 9 pm. Our monthly fee exists so someone is on the hook.
    • Versus a large agency: you talk to the two people who build it. No account manager, no discovery-phase invoice.

    Pricing

    Each automation is a flat setup fee plus a flat monthly fee. Bundles for the receptionist plus the three or four automations most businesses need are on the pricing section. No percentage-of-revenue, no per-seat, no hourly. Founding clients keep the rate they were quoted for as long as they stay.

    Questions we get about this

    What is an AI automation agency?
    An agency that connects the software a business already uses and adds AI where a person used to have to read, decide, and type. Kinetiq builds and maintains these systems for small businesses: AI receptionists, lead follow-up, reminders, invoice sync, review requests, and more.
    Do I need to switch CRMs or phone systems?
    Almost never. We build on top of what you have. If a tool genuinely can't do what you need, we'll say so and suggest the cheapest replacement.
    How long until something is live?
    Three weeks for a standard build. Some single automations, like missed-call text-back, can be live in a few days.
    What happens if an integration breaks?
    That's what the monthly fee is for. We monitor the automations, get alerted when something fails, and fix it. You'll usually hear from us before you notice.
    Do you work with businesses outside California?
    Yes. We're based in California and work with clients across the United States. Everything is remote; the working sessions are video calls.
