AI receptionist · Dental practices
An AI receptionist for dental offices that books new patients while your front desk is chairside.
A new-patient call that hits voicemail is worth roughly a thousand dollars in first-year production, and most of those callers phone the next practice on the list. Kinetiq's AI receptionist answers every call, books new-patient exams and hygiene recalls into your schedule, answers the insurance questions, and gets a real person on the line for a dental emergency.
The calls a dental front desk actually gets
- "Are you taking new patients, and do you take Delta Dental?" The receptionist answers with your accepted plans and offers the next new-patient slot.
- "I need to move my cleaning." It finds the appointment, offers the next openings, and moves it. The reminder text updates itself.
- "My crown came off." / "My tooth is killing me." Triage rules you set: during hours it transfers to the front desk; after hours it reaches the on-call dentist or books the first emergency slot and texts the patient what to do in the meantime.
- "How much is a cleaning without insurance?" It quotes your fee schedule or your membership plan, whichever you tell it to lead with.
- Hygiene recall calls. Optional outbound: it calls or texts patients who are overdue and books them.
- Confirmations. Two days before and the morning of, with a one-tap confirm or reschedule.
Where the lost calls are
Most practices miss calls in four predictable places: lunch, the last hour before close, the morning huddle, and any time the one front-desk person is checking a patient out. Then there is everything after 5 pm and all weekend. Forward only those windows to the receptionist (overflow and after-hours) and keep your team answering the rest. Or forward everything and let your team stop being interrupted. Both are common.
Works with your practice software
The receptionist books through your scheduling system rather than a separate calendar you have to reconcile. We connect to the online-scheduling or API layer of Dentrix, Open Dental, Eaglesoft, Curve, and most cloud PMS tools, and to NexHealth, Weave, and similar patient-communication platforms where you already use them. During week one we confirm exactly what your PMS exposes and tell you honestly if anything has to be a two-step handoff.
HIPAA and patient data
Call recordings and transcripts are encrypted in transit and at rest, retained only as long as you choose, and never used to train general AI models. We will sign a Business Associate Agreement with the practice and with our telephony and AI vendors where required. If your compliance officer or insurer has a specific checklist, send it before the demo call; we'd rather answer it in writing than promise on the phone.
What a dental office pays
A one-time setup fee plus a flat monthly fee, sized to your call volume. For a single-location practice that is typically less than the cost of one additional part-time front-desk shift per week, and it never calls in sick. Exact numbers on the 15-minute call.
Beyond the phone
Most dental clients add two automations after the receptionist is live: a review request sent two hours after checkout, and an unscheduled-treatment follow-up for patients who left with a treatment plan and no appointment. Both are on the automation agency page.
Next step
Hear it answer your phone before you pay for anything.
A 15-minute call. We look at how your business runs today and tell you honestly what we'd build and what it would cost. No credit card, no deck.
Questions we get about this
- Can the AI receptionist book directly into Dentrix or Open Dental?
- Where the PMS exposes scheduling (Open Dental's API, Dentrix Ascend, Curve, or through NexHealth), yes, it books real slots. For older on-premise installs without an API, it books into a linked calendar and your team confirms in the PMS; we tell you which case you're in during week one.
- How does it handle a dental emergency after hours?
- You define what counts as an emergency and who should be reached. It transfers live to the on-call number; if nobody answers, it books the first emergency slot, texts the patient interim guidance you've approved, and alerts your team.
- Will it answer insurance questions?
- It will state which plans you accept, whether you're in-network, and your policy on out-of-network patients. It will not quote a patient's specific coverage or benefits; it takes the patient's plan details and passes them to your team for verification.
- Do you sign a BAA?
- Yes, with the practice, and we use telephony and AI vendors that sign BAAs with us.
