Privacy Policy

A note on this document: Kinetiq is a new company. This policy is an honest description of what we currently do with your information, written to comply with the spirit of GDPR, CCPA, and PIPEDA. Before launch in a given jurisdiction we are having counsel review it. If you are about to sign a contract with us and have questions about a specific clause, email kinetiq@kinetiq.info and we will give you a direct, written answer.

Who we are

What we collect

We collect information from you in three ways:

  1. Directly, when you give it to us — name, business name, email, phone number, business type, monthly call volume, and anything you write in the free-text field when you fill in the demo-request form or email us.
  2. Automatically, in your browser — we write a small number of keys into your browser's localStorage: your light/dark theme choice, whether you've seen the issue-cover intro, any draft form data you haven't submitted, and a record of your cookie-consent choice. This storage is first-party and stays on your device; we cannot read it from our servers. If you decline non-essential storage, we only write the consent decision itself.
  3. Through third parties we embed — we load type from Fontshare, Three.js from unpkg, and our booking calendar opens on Cal.com when you click "Open the calendar." Form submissions are relayed via FormSubmit. These providers see your IP address as a consequence of the request; we do not share additional information with them beyond what you submit. Their own privacy policies govern how they handle that data.

What we do with it

We use your contact information to reply to your demo request and, if you become a client, to operate your account (billing, support, service delivery). We do not sell your information. We do not use it for advertising to third parties. We do not use your conversations with the Kinetiq receptionist to train general-purpose AI models.

Who else sees it

The minimum number of parties necessary to run the service: our email provider, our payment processor (when applicable), the AI-voice provider that powers the receptionist, the ad platforms we place your campaigns on (Google, Meta, etc., if you use the paid-traffic service), and any integration you explicitly ask us to connect. We sign data-processing agreements with our core providers. We will share a list of current sub-processors on request.

How long we keep it

Demo-request submissions: retained for 24 months after your last contact with us, unless you ask for earlier deletion. Active client data: retained for the duration of the contract plus 12 months (so we can handle disputes and meet accounting requirements), then deleted. You can request earlier deletion at any time by emailing kinetiq@kinetiq.info.

Your rights

Depending on where you live, you may have the right to access the data we hold about you, correct inaccuracies, request deletion, object to processing, and receive a copy in a portable format. We will respond to any reasonable request within 30 days. Email us.

How we protect it

Data is encrypted in transit (TLS 1.3) and at rest (AES-256). Access inside Kinetiq is limited to the two founders and any future employees who genuinely need it for their role, with audit logging. We do not maintain a third-party security certification today; if your industry or insurer requires one (SOC 2, HIPAA BAA, ISO 27001, etc.) tell us during the demo call and we will tell you honestly whether we're the right fit at this stage.

Kinetiq is available to clients globally; the data-protection frameworks named in this policy (CCPA/CPRA, GDPR, UK-GDPR, PIPEDA) cover the jurisdictions we presently serve as a matter of course. Clients located elsewhere should raise any jurisdiction-specific data-protection requirements during the demo call so we can address them in their contract.

Changes to this policy

If we make a material change to this policy, we will email every active client and post the change here with an updated "Last updated" date above.

Complaints

We'd rather hear from you first — email kinetiq@kinetiq.info with subject line "Privacy concern" and we will escalate it directly to the founders within one business day. If we can't resolve it, you have the right to complain to a data-protection authority in your jurisdiction.
